Spokesperson Checklist

These instructions are provided to help the proposal Spokesperson (or their Lead Contact) prepare for SSRL beam time. 

These instructions apply to Spokespersons whose proposals have been allocated time. If you want to submit a proposal, please review the Access Process steps.

  1. Accept your allocated beam time in the User Portal
  2. Submit a Support Request in the User Portal
  3. Obtaining a SLAC Computer Account
    • Computer Accounts need to be requested by the team's Principal Investigator
  4. Confirm User Agreement
    • A User Agreement with each user’s home institution is required for everyone participating in experiments. Check the status of user agreements on the User Agreement Website or request one using the instruction from the Access Process Website.
  5. Arrange lodging
    • Make reservations at the Stanford Guest House as early as possible. Identify yourself as a "User" to access rooms set aside for users during busy Stanford events. If no rooms are available, ask to be included on the waitlist so they can contact you if space opens up. See other local lodging accommodations.
  6. Review Site Access Requirements
    • Ensure all experimenters are listed on proposals beam time support requests and complete the steps listed under Site Access on the Experiment Preparation Page (see link above) at least 30 days before planning to travel to SLAC.

  7. Complete all training
    • Complete your own training
    • Confirm that your collaborators are on the "Support Request" for X-ray VUV beamlines or on the Beam Time Request for Macrocrystallography beamlines and have completed their training.
  8. Stop at the VUE Center to obtain a new ID badge.
    • Ensure you have the correct documents to verify your citizenship
    • Check the Entry Requirements for Foreign Nationals
    • User Check-In times at the VUE Center, Building 53 Room 1042: Monday-Friday from 7 am - 12 noon and 1- 4 pm (except holidays
  9. Be cautious at all times
    • Exercise caution when driving, biking or walking at SLAC as construction projects are underway and many roads have limited lighting, signage or shoulders for emergency pull off. Remember to share the roads with other people, vehicles and animals, particularly dusk through dawn when visibility is reduced.
