Experiment Preparation

1. Registration of Experiment Participants

To receive access to SLAC, all members of the experiment team need to be registered in the User Portal and with SLAC. The Spokesperson or Lead Contact of a proposal is responsible for ensuring that all members of the experiment team that are listed on the Support Request and registered in the User Portal and with SLAC. 

Both registration steps are necessary and independent of each other. 

Here are the instructions to share with your team members to register: 

  1. Please register in the User Portal
    • During registration include your proposal spokesperson, number, instrument, scheduled beam time
  2. To request a SLAC ID (SID) number, please submit a Person of Interest (POI) request through this webform 
    • Please name SSRL User Coordinator, Nina Lui, as your point of contact. 

Note to foreign nationals:

The registration process will require submission of identification and visa documents to the Visitor, User, and Employee (VUE) Center at SLAC. For new users, you will be able to upload the documents during the registration process. For returning users, you will receive requests for these documents via SECURE email from SLAC VUE Coordinator, Azeb Amii. Please respond to these promptly. 

 

Site Access Information for Experiment Participants

To gain access to SLAC, all users are required to complete their designated training (see Safety Guidelines Website) and to check in at the Visitor, User, and Employee (VUE) Center.

 

Arrival at the Gate

Upon arrival at SLAC, have your photo ID ready and inform SLAC Security at the Main Gate that you are a user here for a scheduled experiment. They will confirm that your name is on the SLAC Site Access list.

To appear on the Site Access list, users need to have completed the their registration (see Step 1 on this page) and must have been added to the list of collaborators on the Support Request for XRAY/VUV beam lines or on the Beam Time Request for Crystallography beam lines. 

 

Annual Check-in with the VUE Center and Badging

Annually on your first visit for the current run year (October-September), visit the SLAC VUE Center to obtain or renew your SLAC ID. 

  • Check-in Times:
    • The VUE Center/ Badging Office is generally staffed Monday through Friday, 7 am to 5 pm
  • Check-in Requirements:
    • A government-issued photo 
    • Identification/travel/immigration documents for foreign nationals
    • The VUE Center will verify: your training, user agreement and documents, then they will issue you a SLAC Badge valid for a year.
  • Directions to the VUE Center:
    • Parking should be available in the visitor parking area in front of the Science and User Support Building (SUSB) 53, which is directly adjacent to the SLAC main gate.
    • Just inside Building 53, turn left to the VUE Center/Badging Office where SLAC 

Wear your ID badge so it is visible at all times during your visit. If you do not plan to return to SLAC for another experiment within the next run year, return your ID badge to Security before you depart.

2. Complete your Required Training

To conduct experiments at SSRL, all users need to complete their required training (see Safety Guidelines for the course listing).

The training needs to be completed before the arrival at SLAC. Users arriving without completed training, will not be allowed to proceed to SSRL and won’t receive a badge until the online training has been taken at the Visitor, User, and Employee (VUE) Center. 

 

Login Instructions to the Training Center

To log into the SLAC Training Center to complete the training, please follow the following steps: 

  • Access the online training platform, please log into the new SLAC Training Portal. (link is external)
  • To login, enter your system SLAC ID (SID) number and the temporary password, (SLACtraining2005!). You will need to change the password after the first login.  
    • If you do not know your SID number, please log into the User Portal and locate your SID number under the “Welcome” Tab under “User Profile (first line).
    • If you do not have a SID number, please go to “Site Access Tab” on this page and complete step 2
  • If you have lost your password, you can request a new password by submitting the password request form
  • Navigate or search for the three core training courses as listed on the Safety Guideline Website
  • If you are a remote user, you will still need to complete the Cybersecurity training.

3. Confirm a Use Agreement is in Place

Each institution needs to have a valid User Agreement prior to conducting any research at SSRL. It is the Proposal Spokesperson's responsibility to ensure that every person on the proposal has a valid User Agreement signed by the institution official.

To verify if an institution has a valid User Agreement, please check the User Agreement website.

 

How to Request a Use Agreement:

If a User Agreement is missing, it can be downloaded from the User Agreement website and shared with the appropriate officials at your institution. Once those officials have signed it, please email the signed agreement to SSRL-user-office@slac.stanford.edu

4. Computer Account Requests for PIs

Each user group must have a computer account. The owner of the Computer Account should be the Principle Investigator (PI) for the group and only the PI should request a computer account. 

Additionally, all persons using these accounts are responsible for understanding and complying with the terms outlined in the SLAC Acceptable Use of Information Technology Resources Policy. SSRL does not charge for use of its computer systems.

5. Request Access to Sample Prep Labs if Necessary

To learn about or request access to the SSRL Sample Prep Lab or lab equipment, visit the Sample Preparation Laboratories Website


Additional training is required to gain and maintain access to the Sample Preparation Laboratories at SSRL. More information about that, can be found on the Safety Guidelines Website.

6. Check if Sample Shipping is Required

SSRL offers to accept shipped samples from users for beam times. If you would like to ship samples to or from SSRL, please review our Shipping Website carefully. 

Also coordinate with the appropriate teams (Duty Officer (DO), Safety staff, beam line staff etc.) as needed.
