Guidelines for BAG Beam Time Management

  • The BAG POC and BAG members involved in data collection and analysis will attend a remote-access training session with SSRL SMB-MC support staff.  This can be scheduled up to 4 months before the first scheduled BAG beam time allocation

  • To reduce the communication burden, the BAG PI (or POC working under the PI) will coordinate with the SSRL scheduling admin to submit beam time requests and updates on beam time scheduling.  

  • The BAG PI (or POC working under the PI) will divide the beam time allocated to ensure it is used in the most efficient way to advance the BAG Projects.   The BAG PI or POC will communicate this information to BAG members.

  • At the start of beamtime, the PI or POC will communicate to SSRL SMB-MC user-support all user computer accounts to enable for BAG beamtime. 

  • Information on sample shipments and which cassettes/uni-pucks to load into the robot dewar will also be communicated by the PI or POC prior to the start of beamtime.

  • The BAG PI (and POC) will ensure internal communication goes smoothly between all BAG users involved during each block of beamtime.  For example, if one BAG user is done early, the next BAG user should be informed to start right away. To accomplish this the use of group emails including all BAG members using the beamline (and the specific SSRL user-support person) is helpful.

  • All BAG users should be instructed on how to contact the specific SSRL user support person for each block of beamtime.  This helps with communication in case there are any beam line problems.  Further all BAG researchers can schedule with support staff to get advice on data collection or help with specific aspects of BAG Projects.  (Setting up a group email with the SSRL SMB-MC user-support person prior to beamtime is a good way to accomplish this in most cases).

  • The PI (or POC) will organize BAG beam time so that BAG users who need more training start during the day (ideally on a weekday) when support staff are more available to provide advice and training.  The SSRL SMB-MC user-support person should be informed of which users have requested or need more extensive training.  

  • If the BAG is done with the beam line early, the beamline is 'released' in Blu-ice and an email is sent to the SSRL user-support person.  

  • For each block of time, the PI (or POC) gathers feedback from all BAG experimenters and an end-of-run-summary report is submitted.

  • The PI (or POC) provides the SSRL SMB-MC scheduling manager information on beam time usage and resultant publications, theses and other important results.
