Shipping Equipment and Materials to SSRL


The following contact information should be included on all shipments to SSRL:

Express packages are delivered to the SLAC Receiving Department at 10:00 AM Monday - Friday (excluding holidays).  The normal delivery schedule to SSRL is at ~11:00 am.  Packages will be delivered to the SSRL stockroom, Building 120, room 105.


To expedite your equipment shipments to SLAC, contact Milo Lewis (650-926- 2091 or Glen Kerr (650-926-3049) with the way/air bill number and the name of the carrier on the day you ship out your equipment or materials. If shipment requires special handling (e.g. refrigeration), please alert them in advance.


Due to a lack of storage space, we request that your equipment and/or materials arrive no more than one week before you do. Please understand that under the terms of the Use Agreement, SSRL does not assume any liability for your equipment or materials. COD packages cannot be accepted.


  • Shipping Crystallography Dewars to SSRL

    Users shipping dewars to SSRL for use on macromolecular crystallography beam lines may use the Shipping Dewars to SSRL Form on the SMB User Shipments page.


  • Hazardous Materials Shipments

    1. Users should consult with a materials specialist at their home institution for instructions regarding the proper shipping and handling of hazardous materials. All hazardous materials, including radioactive materials, shipped to or from SSRL must be packaged and handled according to U.S. Department of Transportation regulations, or IATA dangerous good regulations (as applicable) if being shipped from overseas. Shipments that fail to comply with these federally mandated regulations will be returned to the user's home institution unopened.

    2. Requestor must supply an MSDS for all hazardous materials in shipment.

  • Getting Shipments through U.S. Customs

    The Stanford Board of Trustees has designated Schneider Logistics to act as SLAC's agent for customs purposes.  Users are advised to contact this firm for information before sending equipment/materials through U.S. Customs.

  • Shipping Crystallography Dewars from SSRL

    Users shipping dewars from SSRL macromolecular crystallography beam lines should follow the steps outlined on the Shipping Dewars from SMB Beamlines page.



  • Shipping Arrangements for Non-Macromolecular Crystallography Beam Lines

    To arrange to have your equipment returned to your home institution please contact Milo Lewis or Glen Kerr in the SSRL stockroom between the hours of 7:00 AM and 3:30 PM Mon-Fri. The Duty Operator is the back-up contact during weekends and after hours. Plan to make your outgoing shipping arrangements with as much advance notice as possible before the shipment is scheduled to leave - 3 days is preferred. Shipments will not be sent out after 2:00 PM on Fridays. We have had problems returning equipment in cases where insufficient information was provided to SLAC Shipping. Return requests that are not filled out properly will not be shipped until the correct information is provided by you.


    Read instructions on the Hazardous Shipping Form carefully. SSRL's Safety Officer Matt Padilla must be contacted before submitting a hazardous materials declaration.


    Please complete one of the following forms for shipping materials back to your home institution:


    These forms are also available from the stockroom clerk and/or in the User Research Administration Lobby.  Several carriers provide shipping services to/from SLAC, including Federal Express, Airborne Express, UPS and several trucking companies. Users are expected to assume full responsibility for the cost of these shipments.  Acceptable methods of payment include:


    • Carrier Account
    • SSRL User Account

    We highly recommend that each user group establish a User Account at SSRL to use for the purchase of miscellaneous items from the stockroom, ordering gases, and sending samples/dewars back to home institutions.  A User Account Form must be completed to open or renew an account.  This form should be submitted along with a Purchase Order from your institution to Michelle Steger (contact information is included on form). An account number will be assigned to you by User Research Administration after receipt of this information. If you have a current SSRL User Account, your account number will be listed on your beam time notification form.
